Lumiere Booking Terms & Waiver of Responsibility

Safeguarding & Supervision – Mandatory Agreement

Lumiere Charity exists to support children with complex learning difficulties and their families. Due to the vulnerable nature of many children who visit our space:

Parents, guardians, and carers must never leave a child unattended at any time during their visit.

You are fully responsible for the care, supervision, and safety of any child or young person in your group for the entire duration of your session — whether in the sensory room, game room, reception, toilet areas, or café.

Lumiere staff are trained to support, facilitate and welcome — not to supervise, monitor, or intervene unless in an emergency.
 

Session Length & Entry

  • Each session lasts 90 minutes, including arrival, use of equipment, and time in the café if applicable.

  • Late arrivals may still be required to leave at the end of their booked session time.

  • Session start and end times must be respected to allow for cleaning and preparation.

  • Keep your booking confirmation or receipt with you throughout your visit.

 

Admission, Concessions & Bookings

  • Children under 16 must be accompanied by a responsible adult at all times.

  • Registered carers are eligible for discounted admission when proof is provided on each visit.

  • Group bookings (schools, charities, care groups) must be pre-approved and supervised at the appropriate ratio.

 

Safety, Equipment & Restricted Areas

  • Certain areas within Lumiere are restricted and closed off for health and safety reasons. These include staff-only zones, service rooms, and equipment storage.

  • Please respect all signage and staff instructions regarding off-limits areas and accessible support spaces.

  • Food, drink, sweets, gum, or sharp/hard objects are not permitted in the sensory or game rooms.

  • All children must remove footwear before entering the sensory space. Socks must be worn at all times.

  • Clothing that covers arms and legs is recommended for comfort and hygiene.

 

Behaviour & Conduct

We are a kind, respectful and inclusive space. We will not tolerate:

  • Aggressive, discriminatory or abusive language or behaviour

  • Rough play, unsafe actions, or inappropriate equipment use

  • Any attempt to enter restricted areas or ignore staff guidance

Lumiere reserves the right to refuse admission or ask anyone to leave the premises without a refund if their behaviour risks the safety, wellbeing, or enjoyment of others.

Police may be contacted in serious or repeated incidents.

 

Café Notice

The on-site café is operated as a separate business. While café staff work closely with Lumiere to ensure a consistent visitor experience, any issues with food, service or payment must be raised directly with the café team.


All Lumiere rules (e.g. behaviour, safeguarding, supervision) still apply in the café.

Only food and drink purchased from the café may be consumed on the premises unless specialist dietary food or specific needs need to be met.

Personal Belongings & Photography

  • Lumiere accepts no responsibility for lost or damaged personal items.

  • Photography is permitted only with consent and must never include other families or children without their permission.

  • Staff may ask you to stop recording at any time to protect privacy.

 

Waiver of Responsibility

By attending a session at Lumiere, you agree to the following:

  • You accept full responsibility for the safety, supervision and behaviour of all children in your care.

  • You understand that while Lumiere staff support inclusive access and positive experiences, they are not responsible for your child’s direct supervision.

  • You will not hold Lumiere Charity, its trustees, staff, or volunteers liable for any injury, loss, or incident occurring as a result of:

    • Failure to supervise a child

    • Disregard for rules or staff instructions

    • Use of facilities outside of guidance

    • Medical needs not disclosed in advance

This waiver applies to all members of your party during your visit.
